Package Policies

  1. All prices are correct at the time of going to print and are inclusive of VAT at the current rate. Prices may vary if the prevailing rate of VAT changes. Banqueting wine prices are subject to change.
  2. All weddings are accepted on condition that full pre-payment will be made on a Proforma Invoice FOUR WEEKS prior to the date of your wedding. The Hotel will not accept cheques for the final balance. This includes any payment due to Wedding Suppliers such as Photographers, Entertainers etc.
  3. Final numbers for all Weddings/Civil Partnerships should be confirmed Fourteen days before the event with the table plan, place cards, favours and special dietary requirements, these will be the minimum numbers charged for.
  4. All additional event charges incurred on the day must be settled on the day of the function without exception.
  5. All provisional bookings for Weddings/Civil Partnerships will be held for a period of THIRTY days after which time such bookings will be automatically released unless written confirmation has been received by the hotel together with: A NON-REFUNDABLE, NON-TRANSFERABLE deposit of £1000.00 for Weddings/Civil Partnerships.
  6. If a deposit is paid by cheque, the event will not be confirmed until the funds have cleared the hotel’s bank account. Please allow 10 days for funds to clear.
  7. A room hire charge of £300 will be applied to Ceremonies being conducted in the Hotel or Barn with a charge of £500 for Ceremonies being conducted on our outdoor marquee area.
  8. The Hotel will try wherever possible to assist guests with the storage of equipment, personal property; wedding cakes etc, but accept no liability for any damage or loss. The Hotel will not accept responsibility for any goods consigned to the Hotel or any of its staff in connection with any event, nor will it be responsible for any freight, carriage or delivery charges.
  9. No food or beverage will be permitted to be brought into the Hotel without the special permission of the Hotel, and the Hotel reserves the right to make a charge for the service of same (except for Special Occasions cakes).
  10. All food and drink consumed on the premises must have been purchased from the Hotel. The management and staff of Glen Clova Hotel have the right to confiscate any such items from guests. All confiscated items will be returned to guests on departure from the Hotel.
  11. Any items related to the Wedding/Civil Partnership must be removed by 11.00am the day after the event; otherwise the hotel cannot be held responsible for mislaid items.
  12. We reserve the right to stop any activity which we reasonably believe is likely to cause damage to the interior or exterior of the venue or to risk of safety of people at Glen Clova Hotel, and we will not tolerate any abusive behaviour by guests to any other guests or member of staff. We reserve the right to remove any person’s acting inappropriately at the event.
  13. Should the hotel for reasons beyond its control, need to make any amendments to your booking, we reserve the right to offer an alternative of facilities. The hotel may cancel the booking if: • The booking might, in the opinion of the hotel, prejudice the reputation of the hotel. • Payments are not received by the agreed date. • If the hotel or any part of it is closed due to fire, alteration or redecoration, by order of any public authority, or through any reason beyond the hotel’s control.
  14. In the unfortunate circumstances that you must cancel or postpone the confirmed booking, costs incurred for any equipment or external companies hired by the hotel on your behalf will be added to any cancellation fee - we therefore highly recommend taking out appropriate wedding insurance. • Wedding/Civil Partnerships cancelled within 1 year will lose the booking deposit. • Wedding/Civil Partnerships cancelled within 6 months will lose the booking deposit plus 50% of the total contracted spend. • Wedding/Civil Partnerships cancelled within 1 month will be charged the booking deposit and the full contracted spend. • Any cancellation or postponement must be addressed in writing to the hotel Manager.
  15. The hotel reserves the right to veto any external entertainment or activities, which have been arranged by the client and cannot accept liability for any costs incurred.
  16. No signs, displays, decorations or other material may be fixed to the walls of the hotel or barn without prior authorisation.
  17. The client shall be responsible for any damage caused to the allocated rooms or to furnishings, utensils and equipment therein by an act, default or neglect of the customer; sub-contractor or guest of the client, and shall pay to the hotel on demand, the amount required to make good or remedy any such damage.
  18. The hotel does not accept, to the maximum extent permitted by Law any liability for loss or damage to property, death, illness or injury except through our own negligence.
  19. Bookings for any Friday, Saturday, Sunday or Public Holiday require a minimum number of 70 guests between the months of April and October inclusive.
  20. No alcoholic favours are permitted to be distributed at The Hotel without prior written agreement.
  21. All 18 hotel/steading rooms must be booked for the night of the wedding. If all rooms are not booked the wedding couple must pay the difference.
  22. Any damage caused to Glen Clova Hotel, its equipment, contents or fittings will be invoiced directly to the wedding couple immediately after the event.
  23. If supplying your own entertainment all equipment must be PAT compliant and the supplier must have public liability insurance.
  24. Due to safety issues and insurance Chinese lanterns and fireworks are not allowed at Glen Clova Hotel.
  25. In line with government legislation, we operate a non-smoking policy across all areas of Glen Clova Hotel, this includes the use of electronic cigarettes/vapes. This policy specifically extends to all rooms, suites and public areas of Glen Clova Hotel.
  26. In the public areas of Glen Clova Hotel and some staff areas CCTV is in operation and video recordings may be made. This activity is carried out for security and service reasons for the better management of Glen Clova Hotel and security for all its guests and staff.
  27. Due to the numerous features of the building, children must be supervised by a responsible adult at all times. The hotel will not accept any responsibility for any injury to children not supervised.
  28. Cars are left at the owner’s / customer’s own risk. The hotel does not accept responsibility for loss or damage.
  29. No advertising material or decorations may be fixed to walls, ceilings, floors etc. within the hotel. The client is liable for the cost of making good any damage to the Fabric of the house caused by the negligence of their guests or suppliers.
  30. No confetti is allowed within the hotel grounds. Should you wish, biodegradable confetti or real flower petals are acceptable outside the hotel in designated areas only.
  31. The wedding couple are responsible for the behaviour and actions of their guests while at Glen Clova Hotel. Inappropriate behaviour may result in your event being stopped early or cancelled.
  32. We reserve the right to make changes to the interior and/or exterior of the Venue between the time we accept your booking and the date of your wedding. For example, we may make changes to the decor and colour schemes of function rooms, and we cannot guarantee that the venue and its surrounds will be free from additional structures such as marquees and scaffolding.
